Employee communication training has no single standard price. As concrete reference points, Orai lists an individual annual plan at $49.99 and VirtualSpeech lists individual annual access at $399. Those are software subscriptions, not equivalent training programs or enterprise quotes. For a team rollout, budget the provider's actual proposal plus employee participation, preparation, follow-up practice, and evaluation time.
This guide separates published prices from assumptions and shows a worked budget for 20 employees. All prices below are in US dollars and were checked on November 5, 2026. Reconfirm the selected offer and scope before purchasing.
Published prices versus a team training quote
| Option | Published price | What the price represents | Team-budget limitation |
|---|---|---|---|
| Orai Pro | $49.99 per year, or $12 billed monthly | Individual speaking-practice access | Orai Enterprise has custom pricing. Do not multiply the retail price and assume it includes team administration or enterprise terms. |
| VirtualSpeech individual plan | $399 per year, or $45 billed monthly | Individual subscription to its content library and practice types | Organization pricing is quoted separately; custom scenarios and some setup or add-ons may cost extra. |
| Facilitated workshop or individual coaching | Obtain a scoped proposal | The sessions, preparation, feedback, and follow-up specified in that proposal | No universal price is established here. A workshop title does not tell you how much individual practice is included. |
These examples show different purchasing models, not a cheapest-to-best ranking. A subscription and a live workshop can address different needs. Annual prices are the full yearly amounts, not monthly equivalents. Tax, travel, hardware, and other applicable charges need separate confirmation.
For a managed deployment, ask whether the quote includes onboarding, reporting, access controls, content customization, and support. Verify how employees' recordings and work material will be handled before using sensitive examples.
Calculate total cost, not only the invoice
Total program cost = external fees + employee participation and practice time + manager time + administration and evaluation time + other required expenses.
Keep cash charges separate from the value of paid staff time. Training during normal working hours does not necessarily create additional payroll spending, but it uses capacity that your budget decision should make visible. Avoid counting the same hour twice as both workshop attendance and practice.
A worked communication-training budget for 20 employees
This is a hypothetical planning example, not a provider quote, market average, or Orai customer result. Suppose the program has one three-hour workshop, one hour of preparation per employee, and eight weeks of 15-minute follow-up practice. Use your own loaded hourly rates and actual proposals instead of copying these assumptions.
| Budget line | Assumption and calculation | Cost |
|---|---|---|
| Facilitator fee | Assumed workshop proposal | $3,500 |
| Practice access | Assumed quoted access for this program; not a published vendor price | $1,200 |
| Materials and setup | Assumed external charges | $500 |
| External cash subtotal | $3,500 + $1,200 + $500 | $5,200 |
| Employee time | 20 people × (3 + 1 + 2) hours × $45/hour | $5,400 |
| Manager review | 4 managers × 2 hours × $65/hour | $520 |
| Administration and evaluation | 6 hours × $40/hour | $240 |
| Total budgeted cost | $5,200 external + $6,160 staff-time value | $11,360 |
The two hours of follow-up practice per employee come from eight sessions of 15 minutes. Total planned cost is $568 per participant for 20 participants; external cash cost is $260 per participant. Keep both figures visible so an approver knows which one represents an invoice and which includes staff capacity.
Sensitivity check: One additional hour per employee adds 20 × $45 = $900, taking the total to $12,260. If the full original cost is incurred but only 12 employees complete the program, the original cost per completer is about $946.67, not $568. Define completion before using that metric and do not treat attendance as proof of learning.
This example excludes taxes, travel, room hire, hardware, and any renewal beyond the defined program. Add those where they apply. Have your finance owner confirm the treatment of staff time and external charges.
Which format fits the communication problem?
- Repeated delivery practice: assess software or self-directed exercises when employees need to rehearse pace, pauses, filler words, or a prepared explanation. Access still needs an assigned practice task.
- A shared team method: consider a group workshop when people need to use the same approach to updates, recommendations, or handoffs. Ask how much practice and individual feedback occur during the session.
- A consequential individual presentation: ask a coach to scope message review, rehearsal, follow-up questions, and revisions. Specify whether subject-matter review remains with your team.
- A combined program: use more than one format only when each has a distinct job. Do not buy two components that duplicate the same work without explaining the benefit.
Speaking-delivery feedback is not a substitute for every type of communication training. Negotiation, conflict management, technical accuracy, and sensitive personnel conversations may require different expertise. Define the work before choosing a vendor.
What should a training quote include?
Send each provider the same brief. A useful request might say: “Twenty project leads need to deliver a five-minute recommendation with a clear decision request. We need one group session, individual practice, manager review, and a follow-up assessment.” Change the brief to reflect your real need.
- Participant count, roles, and whether seats can be reassigned
- Session duration, preparation requirements, and delivery format
- Feedback per participant, including who reviews the work
- Customization scope and who provides examples
- Practice access period, follow-up support, and any renewal
- Reporting, integrations, onboarding, and implementation charges
- Recording/data terms and your organization's approval requirements
- Cancellation, rescheduling, minimum commitment, and taxes or expenses
Request separate totals for required work, optional additions, and responsibilities retained by your team. If one proposal is cheaper because it excludes individual review, that is a scope difference to discuss, not automatically a better deal.
Budget for evaluation before training starts
Decide what evidence will show that the program helped with the original task. For example, have a reviewer assess whether a project update states the recommendation, explains the reason, and names the next decision. Use comparable tasks before and after training.
The CDC's training-evaluation guidance recommends planning evaluation early and selecting questions and methods that fit its purpose. That is general training guidance, not evidence that any particular communication program delivers a financial return.
Attendance, confidence, delivery metrics, listener understanding, and business outcomes answer different questions. For a financial case, use our communication-training ROI worksheet to separate attributable benefits from costs. Do not assume that fewer filler words automatically save money.
Where Orai fits
Orai supports speaking practice with feedback on filler words, pace, clarity, and energy. Review the product workflow, team offering, and Trust Center against your requirements. Request a team quote for enterprise scope rather than treating individual plan pricing as a corporate offer.
For employee practice design, see how to assess speaking progress. The useful question is whether employees can apply a clearer behavior to their work, not only whether they finished a module.
Frequently asked questions
Is communication training priced per employee?
Sometimes, but the billing unit may instead be a session, project, access period, or organization-wide agreement. Ask what is included and what changes when headcount changes.
Can I estimate enterprise software cost from an individual subscription?
Use the published individual plan only as a reference for that offer. Enterprise scope, administration, integrations, and contractual terms may differ. Obtain the actual team quote.
Does a workshop price include individual coaching?
Only if the agreed scope includes it. Ask how many practice attempts and feedback opportunities each participant receives, rather than inferring that from the agenda.
Should staff time be included if salaries do not change?
Show its capacity value separately from external cash spending. That makes the resource commitment visible without presenting normal salary allocation as a new invoice or guaranteed cash loss.
